Administrative Manager

Position:   Administrative Manager

Classification:  Part-Time, 32 hours/week

$22./hour

Reports To:  Executive Director

 

Job Summary:  this position assists the Executive Director in the smooth operation of the Museum by maintaining Calendars; the website; marketing and communications (including mailings to our members and community); managing and tracking invoices and contracts with the bookkeeper; and other duties as assigned.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

This important position is the point person for marketing and communication for all activities by the Museum. They coordinate with Events and Store Supervisors and the Visitor Services Manager to assure internal and external event calendars are appropriately scheduled and maintained.

This position tracks contracts and invoices along with the bookkeeper.

This position takes the lead in communication through marketing, website updates, social media posts, and quarterly newsletters.

This position takes an important lead in maintaining state workplace information for staff communicating it effectively.

Has an eye for detail and maintains a clean, organized workspace. Maintains records and gives reports as needed.

 

SUPERVISORY RESPONSIBILITIES:

In the absence of the Visitor Services Manager, has oversight of supervisors and volunteers according to the organization's policies and procedures.

 

KNOWLEDGE/SKILLS:

Creative, dependable, analytical, organized, and flexible. Professional and friendly demeanor. Understanding of business and museum culture and collections or willingness to learn. Ability to communicate with many kinds of visitors and co-workers. A desire to improve the museum experience for our guests.

 

EDUCATION AND WORK EXPERIENCE:

High school diploma or equivalent. Marketing and/or administrative leadership preferred. Experience working with the public. Understanding websites, social media, Microsoft Outlook, and desire to learn new software as needed.

 

Flexibility especially appreciated; other duties as required. Sick time accrued at the rate approved by the state of Washington. (Review each year).

Front Desk Associate

Position:                     Front Desk

Classification:            Part-Time, 20 – 24 hours/week $18/hour

Reports To:    Visitor Services Manager

 

Job Summary:  Is responsible for positive visitor interactions, effective handling of merchandise and ticket sales, careful attention to detail, and keeping a clean and organized work area. Most weekends.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

This position is responsible for positive visitor interaction, is on-time, and helpful. They make good use of their work time and is helpful in other assigned duties such as mailings, some events, and coverage in an emergency, when necessary. 

 

Assists in processing groups into the museum.

Greet members in a premium, friendly, and professional manner. Encourage memberships to visitors who are not current members.

 

Has an eye for detail and maintains a clean, organized workspace and store.

 

SUPERVISORY RESPONSIBILITIES:

Directly supervises volunteers according to the organization's policies and procedures. Responsibilities may include scheduling, training, and directing work for volunteers, membership information.

 

KNOWLEDGE/SKILLS:

Creative, dependable, organized, and flexible. Professional and friendly demeanor. Understanding of museum culture and collections or willingness to learn. Ability to communicate with many kinds of visitors and co-workers.

 

EDUCATION AND WORK EXPERIENCE:

High school diploma or equivalent. Experience working with the general public. Knowledge of computers and cash-handling and willingness to learn new programs.
